Ø Greet and welcome guests as soon as they arrive at the office
Ø Direct visitors to the appropriate person and office
Ø Answer, screen and forward incoming phone calls
Ø Ensure reception area is tidy and presentable, with all necessary stationery and material (., pens, forms and brochures. Observing professional etiquette.
Ø Provide basic and accurate information in-person and via phone/email
Ø Receive, sort and distribute daily mail/deliveries
Ø Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
Ø Order front office supplies and keep inventory of stock/handle Petty Cash
Ø Update calendars and schedule meetings
Ø Arrange travel and accommodations, and prepare vouchers
Ø Keep updated records of office expenses and costs
Ø Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing.
Ø Handling basic inquiries and sorting mail. Copying, scanning, and filing documents.
