Key Responsibilities
• Efficiently manage day-to-day email correspondence, including receipt, reply, and submission of quotes.
• Delegate tasks to junior executives for quote preparation against inquiries received.
• Acknowledge purchase orders (POs) and issue proforma invoices for advance payments. Prepare dispatch orders for goods in stock and issue purchase orders to vendors after verifying product specifications.
• Regularly follow up with domestic and international vendors to expedite delivery and manage sales quotes and vendor purchase orders.
• Arrange for freight forwarders for domestic shipments, consolidate goods, and prepare packing lists as per warehouse details.
• Provide clients with dispatch details, including invoice, packing list, and docket copy after goods have been dispatched. Update clients on delivery status and lead time periodically.
• Coordinate with accounts and warehouse teams to generate invoices and packing lists.
Key Requirements
• Strong proficiency in email correspondence.
• Advanced skills in MS Office, especially Excel, for preparing quotes and order processing.
• Minimum of 5-7 years in a senior position within a similar business environment (HOSPITALITY – HORECA).
• Ability to handle multiple tasks, delegate effectively, and maintain attention to detail.
Preferred Qualifications
• Proven experience in a supervisory role, managing junior staff and coordinating operational activities.
• Strong background in the hospitality industry with a focus on supply chain and logistics.
