Job Description

Reports directly to the Administration Director.

Organizes all his daily activities/meeting schedules and attends all meetings.

Arranges his travel and hotel bookings/itinerary.

Manages his company e-mail while he is away.

Follows up meetings/reminders for him.

Coordinates activities of administrative personnel.

Coordinates activities/weekly reports of various departments within the company.

Compiles, stores, and retrieves managerial data.

Answers all telephone calls and transfers to people concerned within the company.

Maintains cleanliness and orderliness of the Reception Area.

In charge of distributing incoming/outgoing fax messages.

Reports any deficiency occurring with the office equipments (fax machine, photocopier, telephone, internet) for proper action.

Responsible for incoming magazines and newspapers for distribution.

Monitors daily attendance and ins and outs of every staff.

Any other tasks as assigned by the Administration Director / Executive Secretary.

Requirements

Female with pleasing personality.

Shorthand skill is an advantage.

Must have three to five years experience in the same field.

Must have strong communication abilities.

Flexibility in office timings.

Knowledge in computer (MS Office Package) is a must.
