Job Description

As a Receptionist, you will serve as the first point of contact for our company. You will greet visitors, handle incoming calls, and provide administrative support to ensure efficient operation of our office.

Key Responsibilities:

Front Desk Operations:

Welcome visitors and direct them to the appropriate person or department.

Answer, screen, and forward incoming phone calls in a professional manner.

Maintain a tidy and organized reception area.

Administrative Support:

Perform various administrative tasks such as filing, photocopying, scanning, and faxing documents.

Manage incoming and outgoing mail and deliveries.

Assist in scheduling appointments and coordinating meetings.

Customer Service:

Provide excellent customer service to visitors, clients, and employees.

Respond to inquiries and provide information about the organization.

Handle customer complaints or refer them to the appropriate person for resolution.

Office Coordination:

Coordinate with other departments regarding visitor arrivals, meetings, and appointments.

Maintain office supplies inventory and place orders when necessary.

Assist in maintaining office security by following procedures and monitoring visitor logbook.

Communication and Coordination:

Communicate effectively with internal and external stakeholders.

Relay messages and information accurately and promptly.

Ensure timely dissemination of information using the appropriate channels.

Qualifications:

High school diploma or equivalent (Associates degree or higher preferred).

Proven work experience as a Receptionist, Front Office Representative, or similar role.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Professional appearance and demeanor.

Strong verbal and written communication skills.
