Personal Secretary (Female Only)

Job Description

Key Responsibilities:

Calendar Management: Manage and coordinate executives' schedules, including meetings, appointments, and travel arrangements.

Communication: Screen and prioritize emails, phone calls, and other correspondence. Draft and send correspondence on behalf of executives when needed.

Meeting Coordination: Schedule, organize, and prepare materials for meetings. Take meeting minutes and ensure follow-up actions are completed.

Travel Arrangements: Arrange domestic and international travel, including flight bookings, hotel accommodations, transportation, and itineraries.

Document Management: Prepare reports, presentations, and other documents as requested. Ensure documents are filed properly and easily accessible.

Confidentiality & Discretion: Handle sensitive information with professionalism, discretion, and confidentiality.

Project Support: Assist with specific projects or initiatives, providing organizational support to ensure deadlines and goals are met.

Ad Hoc Tasks: Assist with any other administrative tasks as needed by the executive team.

Qualifications:

1-2 years of experience in an executive assistant, administrative assistant, or similar role.

Strong organizational and time management skills.

Excellent communication skills (both verbal and written).

Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and basic office equipment.

Ability to multitask, prioritize, and remain flexible in a fast-paced environment.

Strong attention to detail and ability to maintain confidentiality.

A proactive, positive attitude with a problem-solving mindset.

Experience with scheduling and handling travel arrangements is a plus.
