Position Overview:
We are seeking a highly organized and detail-oriented Office Secretary and IT Coordinator to join our team. As an Office Secretary and IT Coordinator, you will be responsible for providing administrative support and managing IT-related tasks to ensure the smooth operation of our office.
Responsibilities:
Perform a wide range of administrative tasks, including managing incoming and outgoing correspondence, handling phone calls, scheduling meetings, and maintaining office supplies and equipment.
Maintain accurate records, files, and databases, ensuring efficient retrieval of information. Organize and store physical and electronic documents in a systematic manner.
Schedule appointments, meetings, and conferences, and manage calendars for the office staff. Coordinate and communicate schedules to ensure timely attendance and avoid conflicts.
Draft and proofread emails, memos, letters, and other documents. Ensure effective communication within the organization, liaising with employees, clients, and external stakeholders as required.
Oversee basic IT functions, coordinating with IT projects and managing IT equipment inventory.
Assist in making travel arrangements for staff members, including booking flights, accommodations, and transportation. Prepare travel itineraries and ensure all necessary documents are obtained.
Prepare meeting agendas, take meeting minutes, and distribute them to attendees. Arrange necessary logistics, such as room setup, equipment, and catering, for internal and external meetings.
Greet and assist visitors, provide them with necessary information, and ensure a positive experience. Manage incoming and outgoing mail and packages, distributing them appropriately.
Maintain accurate and up-to-date records of various office-related information, such as employee attendance, leave requests, and expense reports. Enter data into relevant systems or databases.
Handle sensitive and confidential information with utmost discretion.
