Key Responsibilities:
1. Reception Management:
Greet visitors, clients, and employees warmly and professionally.
Answer and route incoming calls, manage emails, and respond to inquiries promptly.
Maintain a tidy and organized reception area to uphold a professional image.
2. Visitor Coordination:
Manage visitor sign-in and security protocols.
Schedule and inform relevant staff members about appointments.
Provide information about the organization and its services to visitors.
3. Administrative Support:
Handle incoming and outgoing mail and courier services.
Maintain and update contact directories and office logs.
Assist with scheduling meetings, booking conference rooms, and preparing meeting materials.
4. Office Operations Assistance:
Coordinate with office maintenance and housekeeping teams to ensure cleanliness.
Monitor and restock office supplies, ensuring inventory is adequately managed.
Assist in organizing office events, training sessions, or team meetings.
5. Communication:
Act as a liaison between departments, relaying messages and coordinating tasks.
Handle basic inquiries and complaints with professionalism and escalate when necessary.
Qualifications and Skills:
Educational Background: Minimum high school diploma; bachelors degree preferred.
Experience: 1-3 years in a similar role, preferably in a corporate environment.
Technical Skills:
Proficient in MS Office (Word, Excel, PowerPoint).
Familiarity with office equipment like printers, scanners, and PBX systems.
