Job Description

1. Supervision and Leadership:

• Provide leadership and supervision to the front office team.

• Train, mentor, and guide junior staff in their duties and responsibilities.

2. Customer Service:

• Ensure excellent customer service by greeting and assisting visitors.

• Handle customer inquiries and resolve issues promptly and professionally.

• Maintain a customer-friendly and welcoming environment.

3. Communication:

• Manage incoming calls and direct them to the appropriate person or department.

• Handle and distribute incoming and outgoing correspondence (emails, letters, and packages.

• Communicate effectively with other departments and team members.

4. Appointment Scheduling:

• Schedule and manage appointments for executives or other team members.

5. Record Keeping:

• Maintain and update visitor logs, appointment calendars, and other records.

• Ensure accuracy and completeness of data in front office systems.

6. Administrative Support:

• Provide administrative support to executives and other team members as needed.

• Assist in the preparation of reports, presentations, and other documents.

7. Facilities Management:

• Oversee office supplies and equipment, ensuring they are well-stocked and maintained.

• Coordinate with facilities management for office maintenance and repairs.

8. Problem Resolution:

• Address and resolve issues or conflicts that may arise in the front office.

• Escalate complex issues to higher management when necessary.

10. Technology Proficiency:

• Utilize and manage office software, communication tools, and equipment efficiently.

• Stay updated on technological advancements relevant to the front office.

11. Compliance:

• Ensure compliance with organizational policies and procedures.

• Keep abreast of industry regulations and implement necessary changes.
