You will be responsible for managing the front desk area, handling inquiries, and performing various administrative tasks.
Responsibilities:
1. Greet and welcome visitors in a friendly and professional manner, ensuring a positive first impression.
2. Manage the reception area, including keeping it clean, organized, and presentable at all times.
3. Answer incoming calls, direct them to the appropriate person or department, and take accurate messages when necessary.
4. Provide information and assistance to visitors, clients, and employees, addressing their inquiries or redirecting them to the appropriate person.
5. Manage appointments, schedules, and meeting room bookings, ensuring efficient use of resources.
6. Receive and distribute incoming mail, packages, and deliveries, and coordinate outgoing shipments as needed.
7. Maintain security by following procedures, monitoring visitor access, and issuing visitor badges when required.
8. Keep an updated record of staff members' whereabouts and availability.
9. Perform general administrative tasks, such as photocopying, scanning, filing, and data entry, ensuring confidentiality and accuracy.
10. Collaborate with other departments to ensure smooth communication and coordination across the organization.
11. Assist in coordinating company events, meetings, and conferences, including booking venues, arranging catering, and preparing necessary materials.
12. Monitor and maintain office supplies, ordering new items as needed.
13. Contribute to the overall positive and professional atmosphere in the office by demonstrating a helpful and proactive attitude.
