Job Responsibilities:
Reception and Guest Services:
Greet and welcome visitors, students, and staff in a warm and courteous manner.
Provide information, directions, and assistance to visitors and inquiries.
Manage the front desk and create a positive first impression of the organization.
Ensure a professional, elegant, and well-maintained appearance of the front desk area.
Telephone and Email Communication:
Answer incoming calls and direct them to the appropriate individuals or departments.
Handle inquiries and provide accurate and helpful information over the phone.
Monitor and respond to emails in a timely and professional manner.
Maintain effective communication, both written and verbal, to ensure efficient interaction.
Appointment Scheduling:
Schedule and manage appointments for meetings, interviews, and events.
Coordinate meeting room reservations and ensure meeting spaces are prepared.
Send reminders to staff and visitors regarding scheduled appointments and events.
Documentation and Record-Keeping:
Maintain visitor logs and records for security and compliance purposes.
Manage and update contact information for staff and visitors.
Ensure the confidentiality and security of sensitive information.
Guest Relations:
Build and maintain positive relationships with visitors and guests.
Address inquiries and resolve concerns in a professional and efficient manner.
Ensure guest satisfaction by providing excellent service and addressing needs promptly.
Administrative Support:
Provide administrative assistance to various departments as needed.
Assist with clerical tasks, such as data entry, photocopying, and document distribution.
Support with the coordination of mail, packages, and deliveries.
Emergency Response and Security:
Be aware of and adhere to security protocols and emergency response procedure
