Job Description:
Managing the MD's calendar which includes daily updating, monitoring & tracking appointments, taking care of the communication needs of the MD
Travel management Ensuring travel bookings like air tickets, car pick up, hotel arrangements and Forex (for overseas traveling). Complete all passport and visa formalities.
Correspondence: Checking mails/ couriers & drafting and filing of letters.
Account: keep a track on the expense reports (client expenses)and other administrative record keeping.
Optimal use of outlook calendar, for scheduling, follow up and pending tasks. Updating address book. Managing subscriptions. Maintain records of expenses claimed, process bills to clients.
Keep contact list updated in the system; ensure all records are properly filed in soft and hard format, and renew requisite memberships on time. Attending business calls & prioritizing the same.
Preparing Minutes of Team meetings.
Assist new joiners and help them understand administrative processes and policies.
Assisting all clients / visitors - manage their visit to our office. Arrange for their food, accommodation and travel, if required.
Others Necessary Requirements:-
Married, preferably with kids.
Staying maximum up to 45 mins travelling time from your office.
There should be job stability, not someone who has been jumping jobs often.
Should be honest.
