Acting as a first point of contact: dealing with correspondence and phone calls.
To provide administrative services including diary management, organising meetings both external and internal, teleconferences, appointments, booking venues, preparing travel itineraries - booking and arranging travel, transport and accommodation, prioritising emails for the Director.
To prepare agendas for meetings and ensure papers are accurate and prepared and disseminated on time.
Microsoft Office with Email skills- drafting emails, answering/ responding to emails on behalf of the Director.
Travelling and arranging events as and when required with the team.
To work closely with the Director and Senior Leadership Team through regular correspondence and prepare briefing materials for the Director. Also, reminding manager executives about important tasks and deadlines given by the Management.
To provide administrative support in the delivery of assignments and initiatives on behalf of the Director's office as and when required
To ensure all correspondence and relevant materials are produced in a timely and accurate manner.
To coordinate departmental reports and documentation for the Board of Trustees meetings and other meetings with outside partners.
To coordinate, attend and take minutes for the Director's meetings and any other relevant meetings.
To produce reports for the Director as and when required.
To follow up on action points from meetings on behalf of the Director.
To provide administrative support to the Director in implementing organisational projects and programmes.
Managing databases and filing systems.
To travel with the Director as and when required.
