Front Desk Management - Visitor Management

Secretarial Work for MD :

Scheduling calendar & meetings

Travel - VISA, Hotel & tickets

Documentation for Travel expense reimbursement

Credit card bill management

Co-ordinate for company lease car for MD

Office Administration

Courier Management- Rate contract, daily dispatches and receipts, Monthly Bill checking & reconciliation

Travel Desk - Finding new agents, crosschecking prices from agents/ online, booking train and air tickets via agent or sometimes self with company credit card, SPOC for any changes in the travel plan/ tickets

Travel & Hotel Arrangements for all employees.

Negotiates for rate contracts and best deals with hotels, does hotel room bookings for employees/company guests as per their travel plans

Ensure 5S in office, Housekeeping

Ensure procurement and ample availability of office consumables- Tea, coffee, stationery etc

SPOC in case of any administrative issue in office.

Monitoring and keeping/updating the record of inventory of stationery/ brochures etc

Ordering Lunch/ snacks for employees/guests

Setting WebEx meetings

Handling EPABX. Updates Telephone directory/ contacts

Arranging Company sim cards & internet dongle

Leads the co-ordination for timely receipt of office bills and payment on time (Mobile, landline, internet, electricity etc)

Co-coordinating with building Management for any administrative / maintenance issues

HR co-ordination

Personnel File management

Co-ordination for trainings & maintenance of Training records

Co-ordination for official document signature and sharing

Attendance & leave record management

Gives attendance & I cards

MarCom

Co-ordinates with printing vendor for

Visiting cards

I cards

Stationery

Product broachers/ leaflets etc

Co-ordinates/ offer support for conferences, distributor meets etc.
