1. Conserving the Director- s time from data conducting activities like reading, researching, and routing correspondences; drafting letters and documents; collecting and analyzing information; and initiating telecommunications.
2. Elaborating and updating the concerned information to the Director as per need.
3. Maintains Director- s appointment schedule/ calendar by planning and scheduling meetings,conferences, teleconferences, and travel.
4. Welcomes customers by greeting them, in person or on the telephone, and answering or directing inquiries, responsibly on behalf of the Director- s office.
5. Prepares meaningful reports by collecting and analyzing information to assist the Director in Decision Making.
6. Represents the Director by attending meetings in his absence.
7. Must carry spark to maintains customer confidence in all interactions and protects operations by keeping confidential information secured.
8. As a delegator, must complete projects by assigning relevant work to clerical staff and following up on results.
9. Secures information by completing database backups.
10. Filing and retrieving corporate records, documents, and reports. Provides historical reference as per requirement and ensure recording of meetings and key discussions.
11. Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expeditingorders for supplies; and verifying receipt of supplies.
12. Maintains and continuously upgrade professional and technical knowledge by attending educational workshops,reviewing professional publications, establishing personal networks, and participatingin relevant professional societies- forums.
13. Contributes to team effort and general administrative support by accomplishing related results as needed.
14. Travel as on when needed.
