● Coordinate executive communications, including taking calls, responding to emails and interfacing with clients
● Prepare internal and external corporate documents for team members and industry partners
● Schedule meetings and appointments and manage travel itineraries
● Arrange corporate events to take place outside of the work place, such as golf tournaments, fund-raising events and staff appreciation events
● Maintain an organized filing system of paper and electronic documents
● Uphold a strict level of confidentiality
● Develop and sustain a level of professionalism among staff and clientele
● Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
● Maintaining comprehensive and accurate records
● Performing minor accounting duties
● Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
● Answering phone calls in a polite and professional manner
● Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department
● Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters
● Manage scheduling for company executive(s)
● Draft, review and send communications on behalf of company executive(s)
● Organize and prepare for meetings, including gathering documents and attending to logistics of meetings
● Answer and respond to phone calls, communicate messages and information to the executive
● Prioritize emails and respond when necessary
● Coordinate travel arrangements
