The Executive Assistant provides high-level administrative support to the executive team, ensuring efficient operation and handling of executive tasks. This role involves managing executive calendars, scheduling meetings, appointments, and travel arrangements, preparing and editing correspondence, reports, and presentations, and organizing and maintaining confidential files and records. The Executive Assistant also coordinates executive meetings, including agenda preparation, material distribution, and minute-taking, and ensures follow-up actions are completed.
In addition to administrative duties, the Executive Assistant acts as the point of contact between executives and internal/external clients, handling requests and queries promptly and appropriately. The role requires assisting in the planning and execution of special projects and initiatives, tracking project progress, and ensuring deadlines are met. The Executive Assistant also manages office supplies, ensures a well-organized workspace, and liaises with facility management vendors, including those providing cleaning, catering, and security services.
Qualified candidates should have a bachelors degree in Business Administration or a related field and proven experience in an executive assistant or similar administrative role. Proficiency in MS Office Suite and excellent written and verbal communication skills are essential. The ideal candidate will possess strong organizational and multitasking abilities, discretion, and confidentiality, with a positive, team-oriented mindset and the ability to work independently.
