Job brief

The Executive Assistant provides high-level administrative support to the executive team, ensuring efficient operation of their office. The role involves managing schedules, coordinating meetings, handling correspondence, and performing various administrative tasks. The ideal candidate shall highly organized, proactive, and capable of handling confidential information with discretion.

Role & Responsibilities

Administrative Support:

Scheduling meeting with internal and external Clients.

Facilitate internal communication (. distribute information and schedule presentations)

Plan appointments and events.

Act as the point of contact between Top Executives and employees/clients.

Create regular reports and update internal databases.

Manage phone calls and emails.

Admin department MIS reporting and other travel reports.

Respond promptly to managers queries.

Creating and maintaining task tracker for teams to manage secondary activities.

Organize and maintain files and record.

Plan and coordinate executive meetings, including preparing agendas, Recording, and circulating MOM, and ensuring follow-up actions are completed.

Arrange meeting venues, equipment, and catering as needed.

Coordination with teammates for executing on Delegation sheet.

Maintain a clean and organized work environment.

Travel Management:

Responsible for Travel & Accommodation bookings (International / Domestic) for all levels of management executives according the Company Travel Policy.

VISA documentation and FOREX.

Travel orientation & prepare agenda before travel.

Resolving escalations related to Travel, accommodation, Cab/Bus Transport, Guest houses, Vendors, etc.

Vendor Management:

Follow Vendor Verification system in the company

Verification of bills and assuring the offers given by Airlines or by other agency / company.

Negotiating to get a better deal, Issuing P. O., and verification of delivery.
