Job Summary:
We are looking for an organized and proactive Executive Assistant with over 1 year of experience to support our CEO in managing day-to-day activities and strategic priorities. This role will focus on handling scheduling, meeting coordination, communication, and other key tasks to ensure the CEO’s time is optimized. The ideal candidate will have a keen attention to detail, strong communication skills, and the ability to handle confidential information with discretion.
Key Responsibilities:
Calendar and Schedule Management:
Manage the CEO’s calendar, ensuring efficient scheduling of meetings, appointments, and events.
Proactively adjust schedules to accommodate shifting priorities and provide timely updates.
Meeting Coordination:
Organize and prepare for meetings, including gathering materials, preparing agendas, and ensuring timely start and end times.
Attend key meetings with the CEO as required, take minutes, track action items, and ensure follow-up.
Communication Support:
Serve as a point of contact between the CEO and internal/external stakeholders, handling inquiries and facilitating communications.
Draft, review, and send communications on behalf of the CEO, including emails, reports, and presentations.
Travel and Logistics Management:
Arrange and coordinate travel plans, accommodations, and itineraries for the CEO.
Prepare expense reports and manage budget tracking related to travel and other business activities.
Documentation and Data Management:
Maintain organized records, documents, and files, ensuring easy accessibility for the CEO.
Prepare briefing notes, research documents, and other materials as needed for the CEO’s decision-making.
Project and Task Management:
