Job Description

2 -7 years with CXO/CEOs office preferred

Calendar Management:

o Experience of handling email, phone & letter correspondence

o Managing and coordinating external/internal meetings

o Coordination with teams/follow ups and handling team MIS/weekly reviews

Travel Management:

o Ticket bookings/Web-check in/coordinating with travel agency

o End to end Visa coordination/Forex/insurance in case of international travel

o Ground transportation

o Accommodation booking and coordination with hotels

MDs Desk management

o Handling phone/internet/credit cards/expenses

o Tracking of travel/ phone/internet bills and ensuring payments on time

o Tracking credit cards, preparing expense statements/tallying expenses and ensuring payments on time

o End to end coordination on any bills, reimbursement or desk related matters

Internal and external stakeholder management

o Database management & dispatches to CRM

o Collation of team reports, preparing power point presentations, formatting documents

o Coordination with external stakeholders on any matters related to MDs calendar or meetings

Qualifications:

o Graduation or a postgraduation degree from reputed institution

o Secretarial course completion will be an added advantage

Key functional skills required:

o Affluent with MS Office, PowerPoint, excel, mail merge, MS Teams, Zoom, Webex and ability to work around any other interactive multimedia and AI platforms

o Ability to understand business, its objectives and priorities

o Activity planning and managing events

o Understanding of Sustainability space preferred

Key attributes:

o Excellent Written & Oral Communication- Fluency in English

o Excellent Interpersonal Skills and ability to coordinate with senior global community

o High on multitasking, cross Collaboration and target oriented mindset

o Ability to maintain confidentiality and capture/handle/anticipate sensitive information

o Confident and pleasant personality

o Ability to work with stiff timelines/late hours
