Position: Document Management Clerk

Employment Type: Full-time

Work Schedule: Monday to Saturday, 9:30 AM to 5:30 PM

Job Description:

We are looking for a young, proactive Document Management Clerk with 3-5 years of relevant experience. The successful candidate will play a crucial role in organizing, managing, and tracking all company documents, both physical and digital, ensuring smooth information flow within the organization.

Key Responsibilities:

1. Receive, log, and file all incoming and outgoing documents

2. Maintain and optimize a comprehensive digital filing system using Google Workspace

3. Create, update, and manage document logs using Google Sheets

4. Scan physical documents and save them in appropriate digital folders

5. Assist in efficient document retrieval and distribution as needed

6. Perform accurate data entry and maintain up-to-date databases

7. Coordinate with team members across departments to ensure proper document flow

8. Assist in preparing and sending official correspondence

9. Maintain strict confidentiality of sensitive information

10. Conduct regular audits of the document management system to ensure accuracy and efficiency

11. Implement and maintain a clear indexing system for easy document tracking

12. Assist in developing and improving document management procedures

Requirements:

* 3-5 years of experience in document management, office administration, or a similar role

* Proficiency in Microsoft Office suite and Google Workspace

* Excellent organizational and time management skills

* Strong attention to detail and accuracy
