Administrative Assistant _ University

Job Description

The Administrative Assistant is crucial in supporting the efficient operation of various

administrative and academic functions within a university. This position involves providing

administrative support to faculty, staff, students, and visitors, as well as maintaining a

well-organized and productive office environment.

Key Responsibilities:

1. Office Management:

- Greet and assist visitors, students, and staff, providing information and directing them to the

appropriate resources.

- Answer and direct phone calls, take messages, and handle inquiries in a professional

manner.

- Manage office supplies and equipment, ensuring availability for daily operations.

2. Correspondence and Communication:

- Draft and edit correspondence, memos, emails, and other written communications on behalf

of the department or university.

- Maintain communication with various stakeholders, including faculty, students, parents, and

external partners.

3. Scheduling and Calendar Management:

- Schedule appointments, meetings, and events for faculty and staff.

- Coordinate and update departmental calendars, ensuring accuracy and timeliness.

4. Records and Data Management:

- Organize and maintain physical and electronic records, ensuring confidentiality and

accessibility.

- Assist in data entry, data retrieval, and database management as needed.

5. Document Preparation:

- Prepare and format documents, reports, presentations, and course materials.

- Assist in the preparation of syllabi, handouts, and teaching materials for faculty members.

6. Event Coordination:

- Assist in organizing departmental events, workshops, seminars, and conferences.

- Coordinate logistics, including venue booking, catering, and audiovisual equipment.

7. Financial and Budget Support:

- Assist with processing purchase orders, invoices, and expense reports.

- Maintain budget records and monitor spending against allocated funds.

8. Student Support:

- Assist students with registration, scheduling, and general university info
