key responsibilities:
office management:
maintain a well-organized and efficient office environment.
manage office supplies and inventory, placing orders as needed.
oversee office equipment and arrange for repairs or maintenance.
ensure a clean and welcoming workspace for staff and visitors.
calendar management:
maintain and coordinate schedules for department members.
schedule appointments, meetings, and conference calls as required.
remind team members of upcoming deadlines and commitments.
documentation and correspondence:
prepare and format documents, reports, and presentations as needed.
draft, proofread, and edit correspondence and communications.
maintain accurate and organized records, both physical and digital.
communication and coordination:
act as a point of contact between the department and internal/external stakeholders.
relay messages, requests, and information in a timely and efficient manner.
assist in coordinating meetings, conferences, and events.
data entry and analysis:
accurately input and manage data, ensuring data integrity and security.
assist in the collection and analysis of data as required.
travel arrangements:
arrange travel itineraries, accommodations, and transportation for department members.
process travel expenses and reconcile receipts.
administrative support:
provide administrative assistance to department members as needed.
perform other duties and responsibilities as assigned by supervisor.
qualifications:
high school diploma or equivalent; associate's degree or higher preferred.
proven experience as an administrative assistant or in a related role.
proficiency in ms office suite (word, excel, powerpoint, outlook).
excellent organizational and time-management skills.
strong communication and interpersonal abilities.
attention to detail and accuracy in work.
ability to handle confidential information with discretion.
self-motivated with the ability to work independently and as part of a team.
