Key Responsibilities:
Office Management:
Maintain a well-organized and efficient office environment.
Manage office supplies and inventory, placing orders as needed.
Oversee office equipment and arrange for repairs or maintenance.
Ensure a clean and welcoming workspace for staff and visitors.
Calendar Management:
Maintain and coordinate schedules for department members.
Schedule appointments, meetings, and conference calls as required.
Remind team members of upcoming deadlines and commitments.
Documentation and Correspondence:
Prepare and format documents, reports, and presentations as needed.
Draft, proofread, and edit correspondence and communications.
Maintain accurate and organized records, both physical and digital.
Communication and Coordination:
Act as a point of contact between the department and internal/external stakeholders.
Relay messages, requests, and information in a timely and efficient manner.
Assist in coordinating meetings, conferences, and events.
Data Entry and Analysis:
Accurately input and manage data, ensuring data integrity and security.
Assist in the collection and analysis of data as required.
Travel Arrangements:
Arrange travel itineraries, accommodations, and transportation for department members.
Process travel expenses and reconcile receipts.
Administrative Support:
Provide administrative assistance to department members as needed.
Perform other duties and responsibilities as assigned by supervisor.
Qualifications:
High school diploma or equivalent; associate's degree or higher preferred.
Proven experience as an administrative assistant or in a related role.
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent organizational and time-management skills.
Strong communication and interpersonal abilities.
Attention to detail and accuracy in work.
Ability to handle confidential information with discretion.
Self-motivated with the ability to work independently and as part of a team.
